Board of Director’s Meeting Sandy Taylor and Denise Nicholas were in attendance at the Pablo Creek Library for the HOA BOD meeting. Dan Kaelin was unable to attend. Several members were present, and an official taping of the meeting was taken. Mrs. Nicholas called the meeting to order for President Sandy Taylor. Board opened the meeting welcoming everyone and introducing the new management company. Kingdom Management has been hired to manage Drayton Place/Kernan Chase HOA. Joy was introduced as the Account Manager for the sub division and Shelly is the bookkeeper. Joy can be reached at 646-2626 or by email at Joy@kingdommanagement.com Joy will be going through the community every other Monday checking for violations. The BOD was informed by Kingdom that 46 Homeowners had failed to pay dues. The BOD asked that Kingdom send a notice to those 46 homeowners requesting payment with additional late charges, asking to be kept updated on this important situation. Current financial reports were then passed out. Denise Nicholas’ nominated Terri Green 12267 Mantle Dr to be a board member; Terri accepted and was appointed to the Board of Director’s Drayton Place/Kernan Chase HOA as Treasurer The Neighborhood Watch Program was brought up and the BOD asked for a volunteer to take the lead to get the program back on track. Shaun Miller agreed to act as the liaison for our Neighborhood Watch Program and JSO. The BOD asked for more community involvement and asked if anyone sees an issue to please call JSO-this has been a problem of not reporting to police to help step up patrols. The “peeping tom” incidents are all over the community and we need to look out for one another, working together. The Neighborhood Watch Community block party was discussed and the tentative date is May 19, 2007, Ruth Lawn Ct was suggested. The BOD has agreed that funding for hot dogs, hamburgers, buns, can soda, and a bounce house for children(as long as insurance issues are cleared), can come from the HOA!!! The BOD asked for everyone to watch for emails, and newsletters for details. The idea of a community Garage Sales was brought up and accepted. The date will be June 9-10, 2007. The HOA will place ads in the Florida Times Union and place signage at front of community. The moving of the palm trees from in front of the subdivision was brought up by a community member. The board reported that they had asked the city for information on when they would be digging them up and if they would relocate them for the community. We are still waiting for an answer from the city. The board will re-address with the city. If anyone had any ideas of where to put the palms the board asked for them in case we are able to have them relocated. Mrs. Nicholas then addressed the issue of trash and littering around the subdivision, and that trash and trash cans not be left in sight, as this is a violation. A number of home owners discussed doing a clean your neighborhood one Saturday and it was brought up that we might want to allow some of the children that need community service hours to help with the cleaning to get their hours. It was requested that a note be placed in the next news letter asking homeowners to tie up their trash and if another recycle bin was needed the city will give them to you for free. The building of our community fence was again brought up by Les Davis. Mrs. Nicholas explained that the BOD acted within their capacity to improve the community falling very short of he $100,000 state statutes allow for, that the BOD had on many occasions tried eliciting resident/owner opinion and when the issue became urgent, had o address it by protecting he community and having the fence installed after receiving several estimates. Former BOD VP, Kenny D’Angelo asked that the HOA change this law as well as brought up the fact the web site needed to be updated. Mrs. Nicholas explained that our web master is a volunteer, was having computer issues and asked everyone to please be patient, as our web designer has done the best most extensive and complete job in DPKCHOA history, and if anyone would like to step up and help her out, it would be appreciated. No one volunteered. Mrs. Nicholas explained that this is an area in which if one in the community truly cares-please step up, help out and volunteer. It is easy she had said to deliver a list of complaints, but difficult to offer help and that was an issue within our community-lack of volunteers or response, and asked for help in changing this. The BOD asked for residents to volunteer to help with project costs. Tonya Davis and Vera D’Angelo volunteered to head a group to plant flowers in the beds at Kernan Chase entrance. The association will purchase the flowers if the volunteers would plant them. Amending of covenants was brought up. After it was explained that there is a formal process that has to be legally followed, Les Davis asked to create a committee to review the by-laws and recommend changes to the homeowners. The BOD explained how the community has a great tool with our web site, suggestion boxes installed, more newsletters and flyers than ever before, a very large email list of residents sending email updates, and the first ever open forum HOA meeting, and this was the forth BOD/HOA meeting, in response to asking for more BOD communication. Mr. D’Angelo also requested that the HOA standardize the meeting date. The BOD will look at this and take under advisement, but do not want to call meetings without purpose. Les Davis and Buzz Barger volunteered to handle replacing light bulb needs at he Kernan Chase entrance and Chris Green volunteered to replace light bulbs at he Drayton Place entrances. They will be reimbursed any out of pocket costs. The meeting was then adjourned at 7:50pm. |
